Equipment-specialized dispatch

Reefer Dispatch for Owner-Operators & Small Fleets

Refrigerated freight rewards timing and planning. We coordinate temperature-sensitive lanes, appointment windows and reload strategy around your operation.

What Reefer Dispatch Actually Covers

For refrigerated trailers that can document temperature control and meet shipper sanitation requirements, dispatch is more than finding a load-board posting. It means filtering freight for equipment fit, checking the full trip economics, communicating with the broker, organizing setup documents and keeping the next move in mind before the current load is accepted.

Common freight includes fresh produce, frozen food, dairy, meat, seafood, beverages, nursery products and other temperature-controlled commodities.

How Truck Dispatch Hub Evaluates Reefer Loads

Reefer dispatch is as much about protecting the load as finding it. We screen time windows, temperature instructions, facility patterns and the next cold-freight market so a premium rate is not offset by excessive waiting or repositioning.

✓ Set-point, continuous-cycle and pre-cool instructions
✓ Pickup and delivery appointment discipline
✓ Reefer fuel and washout cost
✓ Lumper, detention and rejected-product procedures
✓ Seasonal produce positioning and reload depth

We also use all-in rate per mile, deadhead and lane profitability as decision tools instead of focusing only on gross load revenue.

Questions We Want Answered Before the Truck Commits

Equipment-specific details should be clear before the driver burns fuel toward pickup. For reefer freight, we want answers to questions such as:

  • What is the commodity and required temperature setting?
  • Is continuous operation required?
  • Does the shipper require a washout receipt or prior-load history?
  • Who pays lumper, detention and extra stop charges?
  • What documentation is required at delivery if temperature is disputed?

Rate Negotiation Is About More Than the Linehaul

Negotiation should account for the entire job: empty miles, loading method, appointment risk, stop count, accessorial work and destination quality. A slightly lower linehaul can be the better business decision when it saves hours, reduces deadhead or places the truck into a stronger reload market.

When accessorials apply, the rate confirmation should state the agreed terms for items such as detention, layover, TONU, extra stops, driver assist, lumper reimbursement, tarping or specialized handling as relevant to the equipment.

Broker Setup & Documentation

Truck Dispatch Hub can help organize broker packets, certificates of insurance, W-9 information, carrier authority details, rate confirmations and load documents. Before booking, the carrier should confirm that the broker identity and payment arrangement are acceptable to its own business and factoring requirements.

Carrier control: Truck Dispatch Hub supports the commercial dispatch process; the carrier remains responsible for accepting the load, safe operation and regulatory compliance.

Common Reefer Dispatch Mistakes

A temperature-sensitive load can create expensive claims. The carrier must follow the shipper’s written temperature, sanitation and handling instructions and keep equipment in serviceable condition.

Another common mistake is evaluating a load only from pickup to delivery. We prefer to ask where the truck will be after delivery, what the realistic next-load radius is, and whether the driver’s remaining hours support the planned sequence.

Reefer Dispatch FAQ

What does reefer dispatch include?

Truck Dispatch Hub can support load search, broker communication, rate negotiation, broker setup paperwork, rate-confirmation organization and lane planning for refrigerated trailers that can document temperature control and meet shipper sanitation requirements. The carrier remains in control of accepting or rejecting every load.

What information do you need before looking for reefer freight?

We need current location, available date/time, trailer or truck specifications, usable payload, preferred lanes, home-time goals and any operating limitations. For this equipment we also confirm items such as set-point, continuous-cycle and pre-cool instructions and pickup and delivery appointment discipline.

Do you book a load without carrier approval?

No. The carrier should approve the commercial terms and confirm that the load fits its equipment, authority, safety requirements and operating plan before the load is finalized.

How do you compare two load offers?

We compare gross revenue, loaded miles, deadhead, expected dwell time, accessorial terms, delivery market, reload depth and how each option fits the driver’s available hours and home-time plan.

Can you guarantee a minimum rate per mile?

No legitimate dispatch process can guarantee a market rate on every lane. Spot freight changes by day, equipment, season, origin, destination, broker demand and truck availability. The goal is disciplined comparison and negotiation, not a made-up guaranteed number.

Who is responsible for safety and regulatory compliance?

The motor carrier and driver remain responsible for safe operation, equipment condition, hours of service, permits, securement, routing and regulatory compliance. Dispatch support does not replace the carrier’s legal responsibilities.
